Privacy Policy for Unisort iQ
Last Updated: 26 April 2026
1. Introduction
This Privacy Policy explains how Unisort Ltd ("we", "us", or "our") collects, uses, stores, and protects information when you use our mobile application, Unisort iQ (the "App"). We are committed to protecting your privacy and processing your data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
The App is provided to organisations and their employees to support waste collection, bin management, and recycling workflows. Your employer or organisation is typically the data controller for operational data collected through the App; Unisort Ltd acts as a data processor on their behalf.
2. Information We Collect
We collect the following categories of information through your use of the App:
- Account information: Your email address and encrypted password, used to authenticate you within the App.
- Contamination photographs: Images captured through the App's camera function to document contaminated waste. These may include metadata such as the date and time of capture.
- QR code scan data: Identifiers read from bin QR codes during waste collection workflows, including the time and location of each scan event.
- Weight data: Measurements collected automatically from Bluetooth-connected weighing scales during bin collection events.
- Device identifiers: Information about Bluetooth devices (weighing scales) paired to the App in order to maintain device associations.
- Offline data: Collection records and photographs may be stored locally on your device when no internet connection is available, and synchronised to our servers when connectivity is restored.
3. Device Permissions
The App requests the following device permissions:
- Camera: To scan QR codes on waste bins and to photograph contaminated waste during collection workflows.
- Bluetooth: To discover and connect to weighing scales so that bin weights can be recorded automatically during waste collection.
- Microphone (iOS only): Required by the iOS camera framework to enable QR code scanning and photo capture on some devices. The App does not record audio.
You may revoke any of these permissions at any time through your device settings, though doing so may limit certain App functionality.
4. How We Use Your Information
We use the information collected for the following purposes:
- To authenticate users and maintain secure access to the App.
- To record and evidence waste collection events, bin weights, and contamination incidents on behalf of your organisation.
- To provide operational reporting and analytics to your employer or organisation.
- To synchronise offline data when connectivity is restored, ensuring no collection records are lost.
- To maintain and improve the App and our services.
Our lawful basis for processing is the performance of a contract (providing the App service) and legitimate interests (maintaining service quality and security).
5. Data Sharing and Disclosure
We do not sell, trade, or rent your personal data to third parties. Data collected through the App is shared only in the following circumstances:
- With your employer or organisation: Operational data (scan events, photographs, weight records) is accessible to your organisation as the data controller.
- With our service providers: We use third-party cloud infrastructure providers to host and operate the App. These providers act as data processors under our instruction and are bound by appropriate data processing agreements.
- When required by law: We may disclose information if required to do so by law or in response to valid legal requests.
6. Data Retention
We retain personal data only for as long as necessary to fulfil the purposes described in this policy, or as required by your organisation's data retention policies. Account data is retained for the duration of your organisation's contract with Unisort Ltd. Operational records (photographs, weight data, scan events) are retained in accordance with the terms agreed with your organisation.
7. Data Security
We implement appropriate technical and organisational measures to protect your data, including encrypted transmission (HTTPS/TLS), secure credential storage using your device's keychain, and access controls on our servers. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
8. Your Rights Under UK GDPR
